TERMS AND CONDITIONS
The terms and conditions outlined below apply to all bookings with Mottram Hall whether you make them online at www.mottramhall.com or by telephone or in person. If you have an event, conference or wedding with us additional terms will be detailed in the contract.
Check In and Check Out
Check In is from 3pm onwards and rooms must be vacated by 11am. Late check-out may be available on request, please ask at reception and we'll notify you of any additional charges.
The Registration Form at check-in must be signed by the person who is responsible for the reservation and who must be 18 years old or over. By signing this form you enter a contract with the hotel and accept responsibility for all charges occurred during this stay. In the event a third party has initially confirmed payment for any charges but fails to settle the account, you confirm responsibility settlement of all charges accordingly.
The Hotel reserves the right to decline check-in for any reason at its absolute discretion.
The Hotel also reserves the right to terminate any letting / usage of its facilities if it has reason to believe that the continued occupation of the bedroom may be detrimental to the well-being of other guests or staff at Mottram Hall or detrimental to the business interests of the Company.
No refunds will be given if the occupation is terminated under the above or if the occupant decides upon early departure.
Types of rates and cancellation terms
Best Available Flexible Rate: When you book a flexible rate, Mottram Hall will take full pre-payment from your debit/credit card at the time of booking. All guests must present a payment card on arrival in their name. You can cancel your BAR rate booking up to 4pm one day prior to the day of arrival without penalty. The original payment will be refunded to the card provided on booking. If the booking is cancelled after 4pm the day prior to arrival then the full payment is forfeited.
Promotional offers: When you book a promotional package, including seasonal promotions, you will be asked for full pre-payment unless stated otherwise. All promotional packages are non-refundable and non-transferable. We reserve the right to withdraw any offer at any such time.
Golf package - you will be asked for a 25% non-refundable deposit at the time of booking. The balance is payable on departure or in the event of cancellation or non-arrival.
All packages and offers are subject to availability. Mottram Hall or Champneys reserves the right to withdraw packages and offers at any time. The Hotel reserves the right to decline a booking for any reason at its absolute discretion.
Events, weddings and conference terms and conditions are detailed on the individual contracts.
Spa Stay and Day Reservations
All bookings can be made either online at www.mottramhall.com or over the phone with our Reservations team at 0843 561 2193. You must be over 18 to make a booking.
All bookings require full payment to secure your booking. In the event of non-payment for whatever reason Champneys may refuse admission. On payment an email confirmation will be sent out to the lead guest on the booking, please check the details on the confirmation carefully. If any details are incorrect or need to be changed please inform our Reservations Team as soon as possible.
Any amendments made to your booking are subject to availability and an amendment charge of £10 per person to cover our administration costs (any amendments made within 24 hrs of booking will not incur an administration cost). Amendments can only be made by the lead guest on the booking unless the lead guests advises otherwise. No amendments will be accepted within 24 hours of the booking.
Please be aware that any change in date may involve a change in price of your day/ stay and an amendment charge being payable. If the price payable is the greater than the original cost payment will need to be made at the time of the amendment. No difference will be refunded except where the change of date results in a lower price.
If you choose to cancel your booking please contact us as soon as possible however a fee will be charged as below:

Your booking is secure once we have received the required payment in full and a confirmation has been sent out to you. This should be within 24 hours of payment being made and if you do not receive a confirmation within these timescales please contact us straight away.
The most up to date pricing is shown on our website. Any prices shown on our website, quoted by our team and on any communications are subject to regular review and change. The agreed price for your day/ stay will be quoted when you make a reservation and will be shown on the confirmation. Any pricing shown on our website or other communications are subject to review and can change throughout the day. Any fluctuating prices will not be reflected on your secure booking and no refunds or credits will be given in the event they fluctuate lower than your secured booking. All packages and treatments are subject to availability. Champneys reserves the right to withdraw spa treatments, packages and offers at any time.
We have the right, at our sole discretion to refuse to secure any reservation. Where we have indicated that we will not accept a booking or your presence within our resorts we reserve the right to cancel any bookings you have made or refuse entry. If we do so we will refund any payment made but no compensation will be given.
We have the right to cancel your booking, or to instruct you and your party to leave the premises immediately, without compensation or refund should your behaviours not comply with to our terms relating to behaviour and conduct.
We reserve the right in exceptional circumstances (force majeure) to offer an alternative resort as a destination, date of stay or place a reservation on hold. We can also offer monetary value vouchers in lieu of a booking cancelled by Champneys. If we have to cancel a booking due to (force majeure) we may offer a full refund to the payee if we deem appropriate. No refund will be given for early departure unless caused by significant acts of negligence on the part of Champneys or its employees.
We are pleased to be able to provide a cancellation and curtailment protection for £9 per person that can be applied to protect your monies paid. Our cancellation and curtailment protection refunds all your deposit or full payment made (except the protection charge) if you have to cancel due to:
You or a member of your party is called for Jury Service or as a witness in a court of law.
A fire, flood or storm occurs at your home or the home of a member of your party within 14 days of date of arrival or during the course of your visit, which makes your home uninhabitable.
A burglary occurs at your home or the home of a member of your party within 14 days of date of your arrival or during the course of your visit.
You or a member of your party serving in the HM Forces is subject to an unforeseen posting (other than arising from war or similar hostilities); and you are prevented from commencing your visit.
You or a member of your party, or close relative suffers a serious incapacitating (and at the time of making your booking not pre-existing) illness, accident or death.
If payment or part payment is made by a voucher, the voucher will be replaced for an identical voucher as the voucher redeemed for the booking, for a further year's redemption period, if appropriate under the conditions of the cancellation and curtailment protection scheme.
All treatment bookings can be made either online at www.mottramhall.com or over the phone with our Reservations team at 0843 561 2193. You must be over 18 to make a booking. We recommend booking treatments as early as possible before you visit. Champneys does not guarantee treatment availability at any time.
All bookings require full payment on booking to secure your treatment. On payment an email confirmation will be sent out to the email address provide, please check the details on the confirmation carefully. If any details are incorrect or need to be changed please inform our Reservations Team as soon as possible. All treatments are subject to availability and all prices are subject to revision.
If you choose to cancel your treatment booking please contact us as soon as possible however a fee will be charged as below:
Within 7 days of treatment date – 50%
Within 24 hours of treatment – 100%
Your treatment booking is secure once we have received the required payment in full and a confirmation has been sent out to you. This should be within 24 hours of payment being made and if you do not receive a confirmation within these timescales please contact us straight away. In some circumstances Champneys may need to change the times of your treatment and or the therapist. In these circumstances we will try and inform you. Please note Champneys uses both male and female therapist that can be booked on preference however is always subject to availability and cannot always be accommodated.
Inclusive treatments are not transferable and are non-refundable.
What if I need to change my booking?
Bookings should be cancelled by calling 0843 561 2193 - see below for office hours. Please note calls to our 0843 numbers will cost 7p per minute plus your telephone company's access charge. Bookings made through any other third-party site should be cancelled directly with them.
Please note that for advanced purchase or any promotional offers, the full amount is taken at the time of booking. This rate is non-refundable and non-transferrable. We are unable to accept Maestro cards as a form of guarantee. Upon failure to settle the account on departure, charges will be applied to the guest’s credit card. VAT is included in the displayed rate unless otherwise stated. Advanced purchase saver rates and promotional packages can be cancelled but you will still be charged the full amount for the entire cost of your stay. Where necessary, we advise you take out suitable travel insurance.
Bookings for groups in excess of 9 rooms will be given their own specific terms and conditions which will be detailed on your booking.
Please note that calls will be charged at local rate from BT landlines. Other networks may be higher and from mobiles considerably more. Please note calls to our 0843 numbers will cost 7p per minute plus your telephone company's access charge.
Charging Items to your room
Please carry your charge card with you if you wish to charge any items to your room during your stay with us. If you have lost or forgotten your card, please contact reception. When you arrive at the Mottram Hall, all reservations will require a pre-authorisation with a credit card or cash deposit to cover any extras during your stay. All incidentals should be settled prior to departure. Mottram Hall accept payments by American Express, MasterCard, Visa and Cash.
Only alcoholic drinks purchased from the hotel may be consumed in the hotel. We reserve the right to charge the appropriate corkage charge where guests bring in their own alcohol.
Health & Wellbeing
Your health and well-being is our paramount concern. We feel that you are the best person to be in control of your health. We ask that you seek professional medical advice about any conditions or concerns you have and act appropriately on this advice, even if it means not undertaking exercise, a treatment or class. We ask that you let us know if you feel unwell for any reason whilst on our premises so we can help. We request that you read and take on board any instructions information or notifications about use of equipment or the contraindications for specific treatments.
We aim to ensure that a First Aider is always available. If you require any medical attention, please contact Reception on 0. For serious medical emergencies call 999.
Offers are based on two guests sharing a standard double or twin bedroom. Supplements apply for sole occupancy of a double or twin and any room upgrades.
If you have booked a spa break with us, we ask that you arrive 15 - 20 minutes before your scheduled treatment time, so you can complete our consultation form and begin your relaxation experience. If you have any pre-existing physical or medical condition's including pregnancy, please let our spa teams or booking agents know at the time of booking.
You should leave your bedroom by 11am on the day of departure. Late check-out may be available on request, simply ask at reception and we'll notify you of any additional charges.
Does Mottram Hall have leisure facilities:
All overnight rates include limited use of the spa facilities daily between Opening to 10am & 5pm to Closing. If you wish to add use of the facilities between 10am and 5pm this can be done on arrival to the hotel. This is subject to availability and cannot be prebooked prior to arrival. To guarantee access we advise booking one of our spa packages. Prices start from £55 per person per day which includes complimentary use of Spa Robes and Flip Flops to take home. Overnight spa packages include full access to the facilities.
Mottram Hall has its own 18-hole golf courses which guests may use for an additional fee. Golf breaks can be booked through our Reservations Team on 01625 828135. Tee times must be booked directly with the hotel or online, before you arrive.
Before you play
We encourage all our guests to arrive at least 45 minutes before their tee time so they can hit some warm up balls at our Golf Academy. If your game isn't up to scratch, then please give us a call at the hotel and book in a lesson with one of our expert PGA Pros.
Buggies are permitted on the course from £35.00 per buggy. If you have not already booked your buggies, please contact the Golf Shop at the hotel and we will be more than happy to add these on to your reservation. Please note that the availability of buggies is always weather dependent and a decision will be made by the head greenkeeper at the beginning of each day, this is to ensure no undue damage is caused to the golf course.
During busy periods, please be aware, it is our policy that all tee times are played as fourballs. Therefore, where required you will be expected to pair up with other guests.
Proper golfing attire is required at all times on the Golf Course, (i.e. no jeans, trainers, T-shirts or tracksuits). Players may wear tailored shorts with long socks, proper golf shoes must be worn on the course.
What happens if we cannot play golf due to the weather?
The golf course will be deemed as playable unless the Course Manager (or deputy) determines that the golf course is unplayable and closes the golf course. In the event that the golf course is closed, the hotel will find an alternative date or issue bad weather vouchers. Once play has commenced rights are waived to bad weather vouchers and / or refund.
If the course is closed due to weather 24 hrs prior to your event and the hotel expects you will not be able to play the course, the hotel will contact you to notify you. You can choose to either cancel your stay and provided this is rescheduled in the next 12 months no cancellation fee will apply, or attend your event and be provided with a wet weather voucher for a return round of golf.
Should the weather be poor on the day of the event and the course is closed, all catering, accommodation and additional arrangements will continue as planned and we will provide each golfer with a voucher for a complimentary round of golf.
We reserve the right to alter the price of any advertised golf break, including but not limited to any pricing error. A full prepayment is required if booking a promotional rate. Promotional rates are non-refundable and non-transferrable. For non-promotional rates, customers can cancel up to 4pm on the day prior to arrival. Customers that don't arrive or stay will be charged 100%. In circumstances of poor weather, we reserve the right to cancel any booking made on a promotional rate and rebook on an alternative date. We will give a minimum of 24 hours’ notice.
Do you allow children?
Mottram Hall welcome families. Up to one child aged 16 and under can stay when sharing a standard bedroom with at least one full paying adult. If your children, aged 16 and under, stay in their own room, they will be charged at the full adult non-promotional best available rate at the time of booking.
Upgrade charges will apply if you need a larger bedroom to accommodate your family for 2 children ore more. When sharing a bedroom with your children, your room could include a foldaway bed, so please ensure that you ask at the time of booking.
Children aged 0 - 4 can stay and eat for free. Children aged 5 - 12 years will be charged £5 per child for breakfast and children aged 13 - 16 years will be charged £7.50 per child for breakfast. All other meals are chargeable as taken; children's dinner menus include small and large portion sizes to cater for children of all ages.
Christmas and New Year residential packages are subject to different terms and conditions, which are available on request.
Children between 3 and 16 are welcome to use the swimming pool at the hotel during their stay as long as they are accompanied by an adult. Under 3’s are note permitted to use the pool. Please note that there are designated family swimming times which are 8am to 10am and 5pm to 7pm daily. For health and safety reasons, children are unable to use the gym, sauna or steam room where available.
Mottram Hall has a minimum age requirement of 16 years old for booking a hotel room. Normal credit facilities apply.
Do you allow dogs in the hotel?
With the exception of guide dogs and assistant dogs, no dogs are allowed in Mottram Hall. Guide dogs are allowed throughout the hotel free of charge, including the restaurant and lounge.
Is car parking available at Mottram Hall?
Car parking is free and subject to availability. For more information on parking, please contact the hotel.
What are the dining facilities at Mottram Hall?
At Mottram Hall, we are passionate about our food quality and service and we trust you'll have an enjoyable experience with us. If you choose to add dinner to your break at the time of booking, you will receive an allowance per person to spend on food in the restaurant, lounge or via room service. If you choose to dine from the room service menu an additional tray charge will apply. This allowance will be detailed on your confirmation email.
Breakfast is the most important meal of the day and you'll find our breakfast buffets packed full of fruit, wholesome cereals, a vast array of breads and spreads, a continental section and a full English or Scottish breakfast buffet. If you do have any special dietary requirements, please do let us know before you arrive.

Does Mottram Hall cater for disabled guests?
Mottram Hall complies with the access requirements of the local disability legislation. If you have special requirements, please inform us at the time of booking.
Do you have smoking rooms?
Mottram Hall is smoke free and penalty fees will be applied if you smoke in the hotel. The penalty charge is £250 per day for smoking in the hotel.

Gift cards can be redeemed at Mottram Hall, Champneys Resorts, Eastwell Manor and Champneys City Spas. It may be exchanged for goods of a higher price than the face value of the card on payment of the difference. This gift card cannot be exchanged for cash. This gift card is valid for 24 months from date of purchase and cannot be extended. The Balance on the card can be checked at any Champneys location or by calling 0843 561 2193

Travel Insurance / General Insurance
We recommend that all guests or event / wedding organisers take out an appropriate insurance against cancellations of bedrooms or events. Personal circumstances cannot be taking into account as reasons to avoid contractually and above mentioned cancellation charges.
Hotel Proprietors Act 1956
Loss of or Damage to Guests’ Property
Under the Hotel Proprietors Act 1956, an hotel proprietor may in certain circumstances be liable to make good any loss of or damage to a guest’s property even though it was not due to any fault of the proprietor or staff of the hotel.
This liability however—
a) extends only to the property of guests who have engaged sleeping accommodation at the hotel;
b) is limited to £50 for any one article and a total of £100 in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;
c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.
This notice does not constitute an admission either that the Act applies to this hotel or that liability thereunder attaches to the proprietor of this hotel in any particular case.
